How to Add a Signature in Gmail

While it may not be necessary for personal email or when you share funny cat videos with family members, many Gmail users want an email signature for business reasons. Instead of entering your phone number or contact information every time, Gmail does all of the work for you.

Since this is not a standard option, you’ll need to go to your Gmail settings to add or change an existing Gmail signature.

How to add a signature on your desktop

Step 1: Launch your preferred browser and log into your Gmail account as usual.

Step 2: Next, click the Settings gear icon in the top right corner of the screen, then click the Show All Settings button.

Step 3: On the General tab, scroll down until you see Signature. Click the Create New button.


Step 4: In the dialog box that appears, enter a name for your new signature. You will then be returned to the settings screen and a new text box will appear next to the name of your signature. Enter your desired email signature in this text field.

Optional: A check box will appear below the signature field to allow you to add your signature before the quoted text in email replies. This will make your signature more visible in email threads. It is worth checking this option if you use your email address for professional correspondence or if you want your signature to remain visible in subsequent messages. This section below the signature field also has two more drop-down menu options that you can use to choose whether your signature will appear in new emails or in replies and forwarded emails.

Step 5: When you’re happy with your signature, scroll down to the bottom of the page and click the Save Changes button. That’s it! Your signature will now appear in all new messages and outgoing emails.

If you have an email address from Yahoo, Outlook, or another email service, you can also send email from that address using Gmail’s Send Mail As feature. You can set up this feature in your account settings. Once you do that, you can create a different signature for that email address. Just click the drop-down menu that appears in the Signature section on the General tab of the Settings page. You should see this menu under the phrase Signature Defaults. Choose your preferred email address from this menu. Then use the drop-down menus under that menu to choose your settings for new emails, replies, and forwarded emails. When you’re done, scroll down and click Save Changes.

How to add a signature on your Android or iOS device

Note, however, that the app is a bit more restrictive and mobile devices just don’t offer as many customization features. Also, the signature set up in the app will only be shown when you send email messages from the same device. Therefore you have to set up your signature on each device separately.

Here’s how you can use the Gmail app to create your own custom signature on a mobile device.

Step 1: Download the Gmail app on your phone and launch it as you normally would.

Step 2: Tap the three horizontal lines (also known as the hamburger menu) in the top left.

Step 3: In the area that appears, tap on the Settings option.

Step 4: Select the account you want to add a signature for by tapping on the entry. Note: If you only have one email account connected, this is your only choice.

Step 5: For iOS devices: Tap Signature Settings and toggle the slider next to Mobile Signature. For Android devices: tap on the Mobile Signature option (you can find it in the General section).

Step 6: Enter your desired signature and details.

Step 7: On iOS: When you’re done, tap Back to save your newly embossed signature. On Android: When you’re happy with your signature, tap OK to save the changes.
